BLUE MOUNTAIN PROBUS
POLICY: GUESTS ATTENDING PROBUS EVENTS PRINCIPLES
- Events and activities organized or coordinated by Blue Mountain PROBUS
members are principally for members of the Blue Mountain PROBUS club,
and members attendance should always take precedence over guests,
except as noted below.
- Insurance provided through PROBUS Canada does not address guests at
PROBUS events and activities. Therefore, no guests should be invited or
allowed to participate in any event or activity with any elevated risk of injury
without the event coordinator having the guest sign a waiver form.
- In light of the need of Blue Mountain PROBUS to always attract new
members, guests typically should be regarded as candidates for club
membership, where applicable. As such, guests should not be invited or
allowed to attend an event more than two (2) times without becoming a
member of Blue Mountain PROBUS.
- For events or activities where guests are welcome, it is important that the
event or activity is perceived as a PROBUS event, and the event coordinator
shall have the right to limit or prohibit guests at his discretion to ensure the
event or activity is able to maintain its PROBUS identity.
POLICIES FOR DIFFERENT EVENTS AND ACTIVITIES
PROBUS events and activities consist of a wide range of pursuits. In consideration
of the issue of guests, policies are defined for the following categories:
A. EVENTS ORGANIZED BY BLUE MOUNTAIN PROBUS
Examples: Tours, luncheons, bridge, hiking, cycling, kayaking, monthly
meetings
- These events and activities are organized strictly by members of Blue
Mountain PROBUS for members of the club.
- These events may have:
a. a specifically defined maximum number of participants, or
b. a less definitive maximum number of participants, but typically there
is often a maximum number of participants that the coordinator
believes would be manageable.
In such cases, the coordinator shall only allow guests to attend where
such attendance does not result in the exclusion of PROBUS members or
where the number of attendees would exceed a manageable limit.
- Some events may be designed with the idea of guests being a significant
component (ie. Christmas luncheon). In such instances, typically the
number of guests should not exceed the number of PROBUS members
(ie. for the Christmas luncheon, a PROBUS member may bring a spouse
but should not be allowed to bring additional guests).
B. EVENTS ORGANIZED BY OTHERS
Examples: Blues hockey games, Kings Wharf theatre (Note: These
typically are events that are organized and run by parties totally
independent of Blue Mountain PROBUS, wherein the activity organizer
with Blue Mountain PROBUS simply purchases tickets for PROBUS
members to attend.)
- These events and activities are organized and run by individuals or
parties who are not part of Blue Mountain PROBUS. In these instances,
typically the coordinator will secure a defined number of tickets or
passes to attend the event or activity.
- Guests should only be permitted by the coordinator where such
attendance does not displace the attendance of Blue Mountain PROBUS
members.
- Where the number of guests potentially could displace membership
attendance, except as noted below, the coordinator should attempt to
secure additional tickets for guests so as not to preclude Blue Mountain
PROBUS members from attending.
- Some of these events may be deemed by the coordinator as ideally
suited to spouses accompanying Blue Mountain PROBUS members (ie.
King’s Wharf Theatre performances). In such instances, typically the
number of guests should not exceed the number of PROBUS members
(ie. a Blue Mountain PROBUS member may bring only a spouse).
In such instances, it is recognized that Blue Mountain PROBUS members
may be prevented from attending notwithstanding that guests will be
attending.
C. EVENTS ORGANIZED IN CONCERT WITH OTHER PROBUS CLUBS
Examples: Ski legends, Travel, Investment Club
- These events and activities are created by a group of PROBUS clubs
acting in collaboration, and they typically operate independently from
the participating PROBUS clubs. These events and activities are run
under a set of criteria defined and administered by self-appointed
administrative teams on behalf of all participating PROBUS clubs.
- In such instances, attendance shall be regulated by the administration
team for that specific event or activity.
- At times, Blue Mountain PROBUS may partner with one other PROBUS
club to operate an event or activity on behalf of the members of each
PROBUS club. This may be required where, for example, it is necessary to
achieve a minimum level of attendance to make the event or activity
viable.
In such instances, attendance shall be shared on an equal basis between
the participating PROBUS clubs, and the principles set out in this policy
document shall apply with regard to guests.
ESTABLISHING NEW EVENTS AND ACTIVITIES WHERE GUEST
ATTENDANCE IS EXPECTED OR WILL BE ENCCOURAGED
In keeping with the principles noted above (which shall remain paramount), the
following policies shall apply for the creation of new events or activities where
attendance of non-members is expected or will be encouraged:
- New events or activities for which Blue Mountain PROBUS members will be
encouraged and/or allowed to bring a spouse/partner/family member shall
NOT require approval for the Management Committee

- New events or activities for which guests in addition to a
spouse/partner/family member are anticipated shall require approval of the
Management Committee.
- New events or activities which are being organized or established as a joint
venture with another PROBUS club will require the approval of the
Management Committee.
